DentalQuote is operated by Scout Theory LLC, an Ohio limited liability company operating from Medellín, Colombia. This policy explains what we collect, why, and what we do with it. It is written to be read, not to be survived.
What you send us. When you use the contact form, email us, or message us on WhatsApp, we receive whatever you choose to send: your name, email address, phone number, where you are travelling from, and details about the dental treatment you are considering. If you send dental images or X-rays, we receive those too.
What the calculator does. The savings calculator runs entirely in your browser. The procedures you select are not transmitted to us or stored anywhere unless you press the WhatsApp button, which puts your selections into a message you then choose to send.
Analytics. We use Google Analytics 4 to understand which pages are useful. It collects a truncated IP address, device and browser type, approximate location at city level, referring site, and which pages you visited. We also record when someone clicks a WhatsApp link and when a procedure is added to the calculator, as aggregate events. None of this identifies you by name.
Server logs. Our host records standard request logs including IP address and user agent, for security and troubleshooting.
If you send us dental imaging, treatment history or clinical details, we treat that as sensitive. We share it only with the specific clinics needed to prepare a quote for you, and only after you have asked us to seek quotes. We do not publish it, we do not use it in marketing, and we do not sell it. You can ask us to delete it at any time and we will.
We are not a covered entity under HIPAA and we are not a healthcare provider. Do not send us information you would not be comfortable transmitting over ordinary email and WhatsApp.
To reply to you, to obtain quotes from clinics on your behalf when you have asked us to, to improve the site, and to meet legal obligations. Nothing else.
We do not sell your personal information and we do not share it with advertisers or data brokers.
We may receive a referral fee from a dental clinic if you become their patient. This never increases your price. Some outbound links elsewhere on our wider network may be affiliate links; where that is the case on this site, it is disclosed on the page.
Enquiries are retained while we are helping you and for a reasonable period afterwards, generally no more than 24 months, unless you ask us to delete them sooner. Analytics data follows Google's retention settings.
Wherever you live, you can email andy@colombiamedical.co and ask us to show you what we hold, correct it, or delete it. We will do it.
If you are in the EU or UK, you have rights of access, rectification, erasure, restriction, portability and objection under the GDPR. If you are in California, you have rights of access, deletion, correction and opt-out under the CCPA/CPRA — and since we do not sell personal information, there is nothing to opt out of. Residents of Colombia have rights under Ley 1581 de 2012. Same email either way.
Google Analytics sets cookies to distinguish sessions. You can block them in your browser settings or use a browser extension; the site works fine without them. We do not use advertising or retargeting cookies.
This site is not directed at children under 16 and we do not knowingly collect their information. If a parent or guardian is enquiring about treatment for a minor, that is fine — the account holder is the adult.
The site is served over HTTPS and access to enquiry data is limited. No transmission over the internet is perfectly secure, and WhatsApp and email are ordinary commercial channels, not clinical systems. Use your judgement about what you send.
If this policy changes materially we will update the date at the top. Continued use of the site means you accept the current version.
